Villa Moving Checklist for Dubai: 8 Weeks to Moving Day

Work backwards from moving day in eight weeks: survey and quote at week eight, gate passes and building approvals at week four, disposals at week three, packing in the final week. Villas carry far more than people expect — the garage, store, garden and maid’s room routinely add a quarter to the surveyed volume.

Eight weeks out — survey and quote

Get a surveyor in early, because the volume sets everything else. A villa is measured in cubic metres, and the number is almost always higher than the owner expects.

Walk the surveyor through the parts people forget:

  • The garage. Tools, tyres, bicycles, paint, a spare fridge.
  • The store room. Suitcases, holiday decorations, boxes never unpacked from the last move.
  • The garden. Outdoor furniture, a barbecue, planters, a play structure.
  • The maid’s room. Often furnished and always counted late.

Those four routinely add a quarter to the surveyed volume. A quote that missed them will be revised on the day, which is the worst possible time.

Seven weeks — decide what is not going

The cheapest cubic metre is the one you do not move. Sort into keep, sell, donate and dispose now, while there is time to actually shift things. Anything you would not pay to move twice should not be moved once.

Six weeks — confirm the new address

Measure the new property before you commit to taking large furniture. Villa-to-villa moves fail on doorways and staircases more often than on truck capacity. Specific things worth measuring: the front door width, the staircase turn, and whether the master bed will go up assembled.

Five weeks — book the movers

Confirm the date in writing with a fixed price. Ask explicitly what truck size the quote assumes and whether a shuttle vehicle is included, because in most Dubai villa communities the answer matters.

Four weeks — permits and gate passes

This is the step that catches villa movers out. Gated villa communities issue a gate pass, not a building permit, and the requirements differ from a tower:

  • Crew names and Emirates ID numbers submitted in advance, usually a day ahead.
  • Vehicle details and plate numbers.
  • Some communities cap vehicle size, which forces a shuttle and a second run.
  • Several restrict moving hours — commonly 8am to 6pm on weekdays — and a few prohibit weekend moving outright.

Security will turn away anyone not on the list. Confirm the community’s rules in writing, not over the phone.

Three weeks — disposals and handover prep

Get the sold and donated items out. Book any handover works the landlord requires — painting, deep clean, garden tidy — so they are not competing with the move for the same days.

Two weeks — utilities and admin

  • DEWA final reading and new connection.
  • Chiller account transfer, which is separate from DEWA and frequently forgotten.
  • Internet — the long lead item. Book the new line now; provisioning is rarely same-week.
  • Update the address on your Emirates ID record, bank, insurance and vehicle registration.

One week — packing

Professional packing usually starts one to two days before loading for a villa. Pack by destination room, label on the side of the box rather than the top, and keep an "open first" box: kettle, chargers, bedding, tools, medication, toilet roll.

Dismantle what needs dismantling now rather than on the day. Fixed wardrobes, a mounted TV and a fixed boardroom-sized dining table are not moving-day discoveries.

Moving day

A three-bedroom villa is normally a one long day with a crew of five to six and a 7-ton truck. Four bedrooms is typically two days, five or more needs two trucks.

Be present for the walkthrough at both ends, check the inventory as it loads, and photograph anything already damaged before it goes on the truck.

The day after

Check that everything on the inventory arrived, reassemble what was dismantled, and do the landlord handover on the old property while you still have the keys and the crew’s phone number.
