How to Move an Office Over a Weekend with No Downtime

A no-downtime weekend office move needs the new network live and tested before the furniture arrives, desks labelled by destination position, and one decision-maker per floor at each end. The constraint is never the furniture — it is whether people can sit down and work on Sunday morning.

What "no downtime" actually means

It does not mean nothing moves. It means nobody loses a working day. The furniture can be in transit at 2am on Saturday and that costs you nothing — a person sitting at a desk on Sunday with no network costs you a day of their salary and a day of their output.

So plan the whole weekend around one question: can everyone work on Sunday morning?

Three weeks out — the circuit

This is the long pole and it is almost always underestimated. The internet circuit at the new address should be live and tested before the move weekend, not ordered for it. Provisioning a business line in the UAE is rarely a same-week job.

While you wait for it:

  • Patch the new floor and label both ends of every run.
  • Photograph the back of the existing comms rack before anything is unplugged.
  • Decide what happens to the phone numbers — porting a landline is not instant.
  • Confirm the new building will let engineers in outside business hours.

Two weeks out — approvals in both buildings

Two buildings, two sets of rules, and the building you are leaving is usually slower because you have less leverage after giving notice. Expect to provide move-out and move-in NOCs, certificates of insurance often naming the building, service lift bookings at both ends, and vehicle gate passes.

Ask both buildings in writing what hours moves are permitted. Office towers commonly restrict moving to evenings and weekends, and in most free-zone districts you need a separate authority permit on top of building approval — issued by a different desk.

One week out — label by destination

This is the single technique that separates a smooth office move from a bad one.

Number every desk position on the new floor plan. Put that number on the furniture, the crate and the screen bag. The crew then places items at the right desk instead of stacking them in a heap that your staff move a second time on Sunday.

Per desk, bag the screen, keyboard, mouse and cables together and label the bag with the same number. A crate of loose cables costs roughly an hour per person on the first morning.

The move weekend

Friday evening: servers and network gear move first and separately, with the IT people who will reconnect them. Nothing else travels until they are in and powered.

Saturday: furniture, crates and screens. One coordinator per floor at each end, holding the floor plan and authorised to make decisions without phoning someone.

Saturday evening: IT walks the floor and logs in at a sample of desks — not one, a sample across the floor. Fixing three dead ports on Saturday night is routine. Finding them at 9am Sunday is not.

The Sunday check

Before people arrive, walk the floor:

  • Every desk has power, network and the right chair.
  • Fire exits and extinguishers are not blocked by crates. This is the most common failure at a new office and the one a building inspection picks up.
  • Meeting room screens and the printer actually work.
  • The "open first" crates are at reception, not in a store room.

Close the old site properly

A move is not finished when the truck leaves. Final meter readings, keys and access cards returned, dilapidations agreed in writing, and the licence and Ejari address updates filed. An old lease left open costs more than the move did.
